Designated Driver Apps

Designated Driver Cancellations, Training Courses and Wallet Withdrawals

Pricing plans get the demo applause. What burns a designated-driver operation is the messy middle: a cancel after the driver is already rolling, a fare dispute with no component trail, a “trained” driver who never opened a course, and a withdrawal that sits for a week with no status. Those are product problems, not culture problems.

Ptaxi’s designated driver app documents cancel rules on both sides, order disputes, reserved-cancel handling after time changes, course and question-bank training, waiting fees, preferential mileage-stage pricing and wallet withdraw with admin review. Go-online gates and heat maps are covered in designated driver balance reserve and heat map; merchant multi-driver booking is in merchant-assisted booking. This piece is the cancel–train–pay triangle.

Cancel rules are policy you can enforce

Passenger side

From the booking screen through “calling,” passengers can cancel. The important part is admin configuration: daily cancel counts, non-liable cancel rules and liable cancel rules. When a driver has already accepted and the liable rule applies, the passenger can owe a penalty. Configure cancel-reason tags the same week you configure prices — otherwise every Friday produces a new free-text novel in the support inbox.

Driver side

Drivers can cancel too. Admin driver-cancel rules cover daily limits, non-liable and liable paths; violating cancels can deduct service score where you enable that scoring. After a cancel, both sides should get a real-time notice. Silent cancels are how riders decide your brand is unreliable without ever filing a complaint.

Time change, then cancel

After accept and before the driver confirms boarding, the passenger may change the trip time. If either party then cancels, that order belongs on the reserved-cancel list in admin so staff can mark passenger responsibility or driver responsibility. Skipping that list is how “who owes the wait fee?” arguments outlive the trip by a month.

Customer service can also cancel from admin before the driver confirms the bill — useful for clear mistakes, dangerous if used as a shadow discount desk. Write when ops may cancel and when they must not.

Disputes need components, not vibes

Passengers can open an order dispute on fare calculation, route or paid amount. That only works if the order stored a breakdown: estimated fare, preferential price where shown, and the plan components (base, distance, time, long-distance, waiting after pickup). Preferential mileage-stage pricing and waiting fees are documented on this line; use them deliberately. Evaluation, cancel, complaint and refund reason tags should be curated lists, not a blank text box.

For the pricing plan shapes themselves, see designated driver pricing and safety tools.

Training courses that actually gate risk

Course management is not a marketing module. Admin can maintain required and elective safety training courses, attach learning videos and link a question bank. After the driver finishes the course, the system can pull a random subset of questions. Decide in writing:

  • Which courses are required before first go-online
  • Which are elective refreshers after incidents
  • What happens if a driver fails the quiz (retake, lock, supervisor call)

If you never fail anyone, drivers learn the course is theatre. If you lock accounts without a retake path, you invent a support surge on Saturday afternoon. Pair courses with verification review: certification (including whether prior designated-driver experience and extra documents are required) stays an admin-controlled gate before service.

Wallet: reserve, freeze, withdraw

Drivers carry a wallet with top-up (so they can advance fares when policy allows), withdraw, withdraw history and bill detail. Withdrawal requests require admin review. Business switches that belong next to payouts:

  • Go-online / accept reserve — balance below reserve blocks online or accepting
  • Income freeze — earnings only become withdrawable after a configured hold
  • Payment QR before online — where offline collection is allowed, require the QR upload first

Passenger wallets can offer top-up packages with bonus credit; that is a demand tool, not a driver payroll substitute. Payment paths at bill confirm include passenger pay, driver advance pay, or showing the driver’s collection QR for offline settlement. Phrase overseas marketing as local wallet / cash / in-app balance — do not invent card rails the docs do not list.

Waiting fees and the cancel edge

Waiting fees start after the driver reaches pickup, per the plan. They interact with cancels: a passenger who cancels after a long wait is a different case from a cancel during “calling.” Put both in the passenger-facing rules and in driver training so nobody invents a handshake discount at the curb. Multi-driver and merchant orders add more cancel surface area — keep merchant commission rules in sync with cancel penalties so a bar manager is not surprised by a clawback.

Bill confirm, service score and the money trail

At bill confirm the driver chooses a payment path the business switches allow: passenger pays in-app, driver advances the fare, or offline collection via the driver’s uploaded QR. Each path hits the wallet differently. Advance-pay nights without a reserve gate create drivers who are “online” with no working capital. Offline collection without a required QR creates arguments about whether cash ever existed.

Service-score rules (where you enable them) should list which cancels and which complaint outcomes move the score, and whether a low score limits accept range or go-online. Keep that list shorter than a novel. Drivers ignore score systems they cannot predict; they notice the first time a score blocks a Friday shift without warning.

Refund and reprice belong in exception-order handling with reason tags — not as a silent admin edit that leaves the driver bill detail lying. If finance cannot reconcile order accounts, payment flows and withdrawal batches at month end, your cancel policy is theatre.

Minimum mileage, fixed price and nearby-order guards

Business switches on the designated-driver line include fixed-price / one-price mode, cash payment, minimum estimated mileage before a booking is allowed, accept-range limits in grab mode, and a rule that blocks a new nearby real-time order when the user already holds a reserved trip too close in time. Reserved trips can remind by SMS and voice before start; drivers may be allowed to begin service slightly early per config.

Those switches interact with cancels: a passenger blocked from stacking nearby orders will cancel more reserved trips if your change-time UX is clumsy. Test the change-time → cancel → reserved-cancel-list path with real staff before you market “flexible booking.” Preferential mileage-stage pricing (stage distance rates and a max charge per stage) should appear in the price detail the passenger sees, or disputes will claim bait-and-switch even when the math was honest.

What admin watches on a bad Friday

  • Cancel reason distribution (passenger vs driver, liable vs not)
  • Reserved-cancel queue depth and age
  • Open disputes and exception handling (refund, reprice)
  • Withdrawal queue age
  • Course completion vs active driver count
  • Alarm / emergency-dial records in alarm management (market-neutral one-tap emergency dial — do not hard-code a country’s emergency number in overseas copy)

None of that replaces a supervisor with a phone. It does stop the company from running on screenshots. If you want a walkthrough of cancel rules, courses and withdraw review on a demo tenant, contact us.

Frequently asked questions

What happens if a passenger cancels a designated-driver order?

Passengers can cancel from the app. Admins configure passenger cancel rules: daily cancel limits, non-liable rules and liable rules that can charge a penalty when a driver has already accepted and the rule says so. Reason tags should be configured so support is not inventing categories in chat.

Can designated drivers take safety training in the app?

Yes. Admin course management supports required and elective safety courses, linked videos and a question bank. After a driver finishes a course, the system can draw random questions from the bank. Use it for real onboarding content, not as a badge farm.

How do designated drivers withdraw earnings?

Drivers request a withdrawal from the wallet; admin staff review and approve or reject. Bill detail shows income and expense lines. Income-freeze switches can delay withdraw eligibility until a configured hold period passes. Top-up packages with bonus credit are a passenger-side tool, separate from driver payouts.

What is the reserved-cancel list on designated driving?

When a passenger changes the trip time after a driver has accepted but before boarding is confirmed, and then either side cancels, the order should land on an admin reserved-cancel list so staff can assign passenger or driver responsibility instead of guessing later.
