Car Rental Store Dispatch: Confirm Reserved Orders and Assign Delivery Drivers

Stores lose money in the gap between “paid online” and “keys actually moved.” A customer believes the car is theirs. The lot still shows the vehicle as free. Nobody uploaded mileage or photos. Nobody assigned the delivery driver. That gap is where curb arguments and insurance stories are born.

Ptaxi’s car rental software documents a store-side dispatch / confirm step for reservations that have already been paid: upload condition evidence (mileage, photos, notes), assign a driver when the order includes delivery or chauffeur, then release the order to waiting for customer pickup. This piece stays on that store workflow — not a fantasy fully autonomous lot with no humans.

Reservation is not confirmation

Passenger flow is familiar: pick city and store, dates, options such as one-way return, door delivery and deposit preferences the store allows, then confirm return mode and pay with balance or configured online methods (coupons allowed). Return modes include:

  • In-store pickup and return — customer comes to the lot.
  • Door delivery / collection (customer-paid) — store sends staff; delivery fees come from store pricing.
  • Configured chauffeur — store must provide a driver; chauffeur fee is store-set.

After pay, the vehicle is reserved and waits for store confirmation. That sentence is the operational hinge. If stores treat paid orders as auto-live, you will double-book and under-document.

Wedding hire is stricter: return mode is chauffeur-only. Confirm-and-assign-driver is not optional theater for those jobs.

What store dispatch actually uploads

Store home → dispatch shows passenger reservations pending confirm. On confirm, staff must upload vehicle condition:

  • Pickup mileage
  • Condition photos
  • Notes

For door delivery/collection or chauffeur orders, staff set the driver. After confirm, status becomes waiting for customer pickup.

Why photos and mileage at confirm — not only at return? Because disputes are asymmetric. Customers remember the scratch they “always” saw. Stores remember the scratch they “never” saw. Timestamped outbound evidence is how you keep that argument short. Notes catch the weird cases (existing bumper crack, low tread) that photos alone under-explain.

Keep one discipline: the same staff role that confirms should not be able to “confirm” with empty media because a required field was bypassed in a hurry. If your process allows skips, the feature might as well not exist.

Assigning drivers without turning rental into ride-hailing

Delivery and chauffeur assignments are store logistics, not a city-wide grab hall. The store picks who brings the car or who drives the hire. That person needs clear job type training:

  • Delivery: get the car to the customer location, complete outbound condition ritual with the renter, leave (or continue per your SOP).
  • Chauffeur: stay with the service for the hired period under the configured chauffeur fee rules.

Do not blur these with taxi-style broadcast pools unless you have deliberately built that. Documented rental dispatch is store confirm + driver field on the order.

Store service toggles also decide whether the branch offers door delivery, one-way return, deposit waivers and chauffeur at all. A confirm screen that demands a driver on a branch that disabled chauffeur is a configuration bug, not a driver shortage.

Customer pickup after confirm

Once status is waiting for pickup, the renter confirms condition materials and can use remote lock checks where enabled to inspect before accepting. Then they confirm pickup and the order moves to on rent. Self-service patterns (smart lock, lights/horn, scan-to-rent) sit on top of this evidence chain — covered in car rental smart lock and self-service pickup — but they do not erase the store confirm step for reserved orders.

If delivery is involved, the assigned driver’s arrival is part of making “waiting for pickup” real at the customer’s curb rather than at the lot. Ops scripts should say who initiates the condition confirm: customer alone, or customer with delivery staff present.

Return confirm mirrors outbound evidence

When the customer finishes and submits return, the store sees pending return confirms. Staff upload return mileage, photos, notes, may add other fees, and confirm. Extra fees trigger a second customer payment. That symmetry — outbound evidence, inbound evidence, optional second charge — is the spine of deposit and damage handling. Deposit records and abnormal-order tools on the PC admin side backstop fights the store cannot settle alone.

Pricing plans behind the scenes already carry vehicle deposit, violation deposit, base service fee, weekday/weekend/holiday base rates, over-mileage, over-time, chauffeur fee and delivery fee. Dispatch does not invent those amounts; it applies the order’s plan and documents the car state when money movement gets controversial.

Photos that hold up later

Three outbound photos beat thirty random ones. Agree a minimum set per class of vehicle (corners, odometer, interior) and put it in store SOP next to the confirm button. Notes should name the damage, not say “see photo.” Return staff should shoot the same angles. PC abnormal-order handlers will thank you when both sides submit overlapping evidence instead of artistic close-ups of unrelated dirt.

PC admin view for multi-store networks

Platform admin sees orders across stores: amounts, refunds, rental type, pay state, detail with user/store/vehicle and fee breakdowns (rent, deposits, service fee; completion-side overage, delivery, extras, chauffeur). Abnormal orders collect appeals when store and user disagree. Finance views per-store income, platform commission splits and deposit refund actions.

For a network, store confirm latency is a KPI. A reservation that sits unconfirmed through the customer’s flight landing is a support incident with a timestamp. Dashboards that only show “today’s GMV” hide that.

Linking store toggles to what customers see

Store profile settings control whether the branch offers door delivery, one-way return, deposit waivers and chauffeur. Those toggles should match the confirm UI. If marketing pages promise delivery city-wide but a branch disabled the service flag, customers will pay paths that stores cannot fulfill — and dispatch will stall on a driver field that should never have appeared.

Corporate and wedding flows add approval or chauffeur constraints on top; see car rental corporate and wedding hire for how those order types differ. The confirm ritual stays: evidence out, driver when required, evidence back.

Vehicle grades and fee rules decide what amounts appear when confirm and return fire. Over-mileage and over-time only feel fair if outbound mileage was captured honestly at dispatch. That is another reason the mileage field is not optional paperwork.

A drill every new store should run

Before first real weekend:

  1. Place a test in-store reservation; confirm with mileage, three photos, a note; complete pickup and return with a clean second confirm.
  2. Place a delivery reservation; confirm with a driver assigned; refuse to proceed if the driver field is empty.
  3. Place a chauffeur reservation; confirm with driver; walk bill lines so chauffeur fee is visible.
  4. On return, add a small extra fee once and complete the second pay path.
  5. Pull the order detail on PC and check that photos/notes and fee lines match what staff believe happened.

If step 2 can succeed without a driver, stop launching delivery marketing.

Close

Store dispatch is where a paid reservation becomes an accountable rental: mileage, photos, notes, and a named driver when delivery or chauffeur is on the order. Skip it and you are renting on optimism. Run it and most curb disputes shrink to comparing two sets of pictures.

Frequently asked questions

What does store dispatch confirm on a reserved rental order?

Documented store dispatch lists reservations waiting for confirm. On confirm, staff upload vehicle condition: pickup mileage, condition photos and notes. For delivery or chauffeur orders, the store must also set a driver. After confirm, the order moves to waiting for customer pickup.

When does a store need to assign a driver?

When the customer chose door-to-door delivery/collection (paid delivery) or configured chauffeur service. In-store pickup/return without those options does not require a driver assignment at confirm. Wedding hire is documented as chauffeur-only for return mode.

What happens after the store confirms?

Order status becomes waiting for the customer to take the vehicle. The renter confirms condition (and can use remote lock checks where enabled), then the rental period runs until the customer submits return for store confirmation.

Can the store add fees at return?

Yes. Return confirm uploads return mileage, photos and notes, and can add other fees. If fees are added, the customer must pay a second time before the return fully clears.
